IT Asset Disposal Policy: What Every Company Should Have in Writing

Why companies need a written IT asset disposal policy, what it should cover, and how it protects you when old hardware leaves the building.

IT Asset Disposal Policy: What Every Company Should Have in Writing

Why 'we'll figure it out when it happens' doesn't work

Most companies retire IT equipment in bursts — an office move, a hardware refresh, a department shutting down — and without a written policy, the decision of what happens to that hardware usually falls on whoever's clearing the room that day. That's how laptops with unwiped drives end up with an employee, or how a pile of monitors sits in a storeroom for two years because nobody owns the decision.

A short written policy fixes this before it becomes a problem, not after.

What the policy actually needs to cover

At minimum: who approves a device for disposal, what happens to data on it before it leaves the building, which vendor handles collection, and what documentation gets filed once it's gone. It doesn't need to be long — most companies can fit this on one page — but it needs to exist before the next office move, not during it.

If your company has any EPR obligations as a producer or seller of electronics, the policy should also name who's responsible for keeping the resulting certificates on file.

Building it around a vendor you already trust

The easiest way to write this policy is to build it around whichever certified recycler you already work with, so the policy just references their process rather than inventing a new one. We're happy to work with your admin or IT team to draft wording that matches how we actually collect, wipe and certify equipment, so the policy on paper matches what happens in practice.

That consistency is what makes the policy useful during an actual audit, rather than just a document nobody follows.
